Comply With AAALAC Occupational Medicine Requirements

Help research centers collect, authorize, organize, and track data required to meet OSHA and AAALAC guidelines and requirements.

The module assists compliance personnel; individuals subjected to occupational medicine review; and occupational medicine clinicians, nurses, and practitioners to identify, submit, and review information around potential exposures to animals or animal-source materials.

Key Benefits

Streamline Compliance Communications

Receive automated email notifications when occupational health forms require review. Create high-level registration status reports to see which forms are approved quickly, expired, in-process, or never started. Authorized users can send targeted emails to individuals with animal contact via the Smart Mailer feature. Prior to Animal Contact form submission and approval, training requirements can be automated using our Training module to ensure compliance.

Track Medical Surveillance Requirements

The Medical Surveillance arm of the Occupational Health Module allows Safety Teams to establish hazard-based requirements for medical surveillance. System hazard profiles instantly identify which individuals require periodic oversight for vaccination, hearing conservation, fit testing, and more.

Customize Training

Optionally, require that users complete zoonotic training before submission of their animal contact form for review. Drive further training requirements based on information collected. For example, researchers who come into contact with nonhuman primates can be required to complete additional training.

Minimize Administrative Effort

Increase compliance and reduce administrative effort through the use of automated email alerts, easy-to-use wizards, intuitive approval interfaces, and concise reporting tools.

Must-Have Features

Must-Have Features for Compliance Personnel

Track the compliance status of individuals who work with animals, including when they were last approved for animal contact. To maintain privacy, compliance personnel have no access to the medical forms submitted, only to the final decision regarding the individual’s approval for animal contact. Other features include:
  • An easy interface for enabling or disabling enrollment in the animal contact program
  • High-level reports that show which animal users are approved for animal contact, which users have submitted applications and are awaiting approval, and which users have not yet submitted
  • Effortless management of renewals through forms that automatically expire after one year and notify users via email that they need to review and update their information
  • Search tools for finding users and their current status
  • Methods to view any recommendations or requirements set by occupational medicine for an individual’s animal contact

Must-Have Features for Individuals Subject to Occupational Medicine Review

Anyone in the organization who has contact with animals or animal materials during their work duties must complete the occupational health assessment process. These users are guided through a step-by-step wizard to determine their level of animal contact and collect medical history regarding health concerns related to their work with animals. The wizard also ensures they are up to date on required zoonosis training courses and presents them with these courses if not. Other features include:
  • A user-friendly registration system that clearly walks users through the required steps
  • A registration wizard that auto-fills information previously collected or otherwise known, to speed data entry and renewal processes
  • Automated email notifications and reminders to effortlessly guide new users through the system
  • Automated expiration notices to remind users to keep their information current

Must-Have Features for Occupational Medicine Clinicians, Nurses, and Practitioners

With their own dedicated interface, these users can see which forms are pending review and all past forms submitted. Multiple occupational health reviewers can work together to process queues of submitted forms or share notes on specific forms. Previous submissions and notes are always maintained, and updated forms can be easily compared to past submissions to see what has changed. Other features include the ability to:
  • Mark forms as approved, denied, requiring further review by a clinician, or requiring an in-person consultation
  • See when forms were submitted, any edits that were made, which occupational medicine staff member processed the form, and any notes that were entered
  • Compare prior submissions to the current form to see what has changed when processing a renewal and view any notes taken by reviewers in the past
  • Email questions or comments directly to the individual who submitted the form, along with a link to allow them to access the form again to update or correct information
