Webforms Module

Offer researchers easy to complete online forms that simplfy information collection, documentation, and information storage.

The Webforms Module simplifies the process of filling out forms and properly manages everything from the review process to archival.

BioRAFT Webforms are a big step beyond the status quo. They do much more than simply collect and archive data. Forms can be developed to gather nearly any information and multiple forms can be combined to create a step-by-step process. Using Webforms you can transform your PDF and Word doc library of forms into Webforms that are tied directly to the lab that filled them out.

  • Enables easy completion by researchers
  • Ties forms filled out by researchers to their lab
  • Autosave feature protects from loss of information before submission
  • Revision tracking
  • Answers to forms can drive other requirements (e.g. training, other forms)

Form Manager is the central organizational tool that manages the whole process from sending out forms to be completed to archiving them.

  • Send and track form requirements
  • Get notified of submitted forms
  • Easily view, send researchers questions, and process forms online
  • Manage and view all submitted forms centrally and by laboratory

Benefits of BioRAFT Webforms Module over Word, PDF, paper forms and many other electronic form systems:

  • No more worrying about the forms lost in email and individuals' hard drives
  • Easier on researchers (no more documents to email, print, or mail)
  • Reduces effort, needless paper waste, and frustration
  • Increases likelihood that forms will be filled out and returned

Drive Further Requirements

A wealth of information exists in the forms filled out by a research laboratory. Webforms will not only collect that data but analyze it to drive specific actions to take place. For example, based on answers provided in a form, additional training requirements may be necessary or more advanced oversight requirements may need to be met.

Review Process

Any form can be marked as requiring review. When configured, the form will go through an online review process. A preset reviewer (or group of reviewers) is notified via email when the form is submitted. They have the opportunity to then go into the system, view the form, edit responses, and approve or deny the form. Additionally they can leave the form in review and contact the submitter
through the system for additional information or clarification. When they are satisfied, they can then approve the form, which places it into the research center's official records.

Re-Submission Capabilities

Most forms submitted in our system are always accessible by both departmental staff and the researchers that submitted them. At any time a user can enter the system, update information in past forms and resubmit them. This is particularly useful for forms that expire after a given time period, or for forms under review when a reviewer asks for more details or clarification.

Revision Tracking

A history of all changes made, by reviewers or the original submitter, can be viewed for each submitted form. This is a great feature for analyzing changes in a lab's research from one review period to the next.

Delegation

In many research labs, the PI is not the only one that completes paperwork or forms. In these cases, the PI can assign lab members to have access to manage and update the forms pertinent to their laboratory.

Access Controls

Forms contain sensitive information that should only be visible to very specific individuals. Access is controlled tightly so that no one can view these forms that should not have access to them. Forms may be developed and added to your installation of BioRAFT.
